Timeline for Partner Institutions for Summer 2008
(Subject to change)

Year round: 

  • Campus wide Scholarship Marketing (but especially September –October)

November 1, 2007:

  • Application due    

December 2007:

  • Recipients determined

December 14, 2007:

Please send the following to the Vira I. Heinz Program Coordinator:

  • MS Excel Spreadsheet complete list of all applicants
  • Notification of  3 scholarship recipients and alternate
  • Letter from campus coordinator informing the recipients of the awards (send to recipients)

January 2008:

  • Individual Campuses (presidents) will receive a special letter from the Heinz Endowments that needs to be signed and returned in order for funding to be released.  Please note that this is delayed when we do not receive complete applications by the deadline.
  • First retreat invitations sent to all recipients and campus coordinators

February 22-24, 2008:

  • 1st Weekend Retreat takes place
  • Coordinator’s Meeting will take place Saturday, Feb. 23, 2008

March 2008:

  • Second retreat invitations are sent out

April 3-5, 2008:

  • 2nd Weekend Retreat takes place

Late April/Early May 2008:

  • Checks released to institutions by the Heinz Endowments (provided that all paperwork has been completed by EACH institution)

May-August 2008:

  • Study Abroad experience takes place

Fall 2008:

  • September 20, 2008 Returnees’ Debriefing event (Experience Reports are due at this time, which also include the expense report and photo/media journals)
  • Submit recipients’ current campus address (current as of fall 2008)
  • Students select a faculty advisor (if necessary) and selection process for community engagement experience takes place. The community engagement experience can take place as early as the fall semester

Spring 2009:

  • Community engagement experience can take place during the spring or during summer 2009 (summer 2009 is the last possible opporunity for the community engagment experience).
  • Meetings with Faculty Advisor to take place (minimum 3 meetings)
  • Experience report due upon completion of community engagement experience

Fall 2009:

  • Marketing and outreach per institution

Spring 2010:

  • Students submit E-portfolio
  • Graduation event takes place

Summer 2008 Nominees

The following are the standard procedures for the administration of the Vira I Heinz Scholarship Program for Women in Global Leadership

What should the screening process include?

All applicants who meet the following criteria are encouraged to apply at each of the partner campuses:

  • Women who are sophomores.
  • Women with at least a 3.0 QPA
  • Women who are intending to spend at least 4 weeks in the host country for the study abroad experience and are participating in a program for academic credit.  
  • Women who will return to their home campus for the Fall semester following their study abroad experience.
  • Women who show the potential for leadership on campus and possibly in the Western Pennsylvania area and/or who are interested in employment or graduate study in Western Pennsylvania after graduation.
  • Women who will construct a study proposal that will reflect one or more of the five major programming areas of the Heinz Endowments: Arts and Culture; Children, Youth and Families; Economic Opportunity, Education; and the Environment.
  • Women who have not had an overseas experience or who may not otherwise have such experiences due to financial, academic, or personal reasons are strongly encouraged to apply.
  • Women who are available to attend the following: 
    • two weekend retreats in the Spring semester prior to their study abroad experience
    • a debriefing event in the Fall semester following their study abroad experience
    • participate in an internship during the Spring or Summer semester after the study abroad experience.

What does the minimum application process entail?  (5 parts)

1.       All applicants must complete the standardized application. Do not use dated copies or campus-specific versions of the applications.  A copy of this application is included in the standardized application packet. All applicants must submit one academic letter of reference and one personal letter of reference.

2.       All applicants must submit a maximum of 5 pages single-spaced, typed, edited, and proofread, study abroad proposal detailing:

Why the applicant has chosen the site to study abroad?

How this study abroad experience will complement or fulfill major requirements at home university?

Detail how this international experience will complement or serve as a springboard for future leadership opportunities.

3.       A detailed budget must be submitted with the proposal and must include the following (where applicable):

  • Cost of program
  • Airfare
  • Housing
  • Books
  • Meals
  • Passport
  • Visa
  • Other expenses

4.       An interview process must be conducted.  A minimum of three interviewers should meet with each candidate.    

After the home campus has selected its three winners, what do I as a campus coordinator do?

1.       Submit an MS Excel spreadsheet of all applicants clearly denoting the winners and alternates.  For the winners please indicate complete contact information, country, program and one clear professional photograph of each winner and alternate (can be sent via e-mail or on CD – Please clearly indicate winners and names – do not send hard copies).  A sample spreadsheet will be provided to you by the Program Coordinator.

** Note: Do not fax the applications to the coordinator and do not send incomplete applications.

2.       Send award letters to the recipients’ stating the date of the weekend retreats and debriefing events.  Explain their obligation as recipients to attend all events.

After the student returns from their overseas experience, what do I do?

Remind the students of the obligation to write a final report regarding their experience and of their required attendance at the Fall debriefing event.  The report must include a final expense report reflecting how the funding was used. These reports must be submitted at the Returnees’ Debriefing. Also, begin the following administrative procedures:

  • Work with students to identify internship site
  • Track student’s completion of program components (i.e. final report, Heinz focus, internship location, etc.). This will determine who will receive certificate of completion.
  • Incorporate students in promotional activities on campus

What does the Experience Report entail?

  • Environment

Why have you chosen the selected study abroad site?

How this study abroad experience will complement or fulfill major requirements at home university.

Detail how this international experience will complement or serve as a springboard for future leadership opportunities.

1.       Photo/media journal with highlights from the experience abroad.  This must be submitted on a CD (no hard copies, photo albums, or scrapbooks will be accepted).   This CD is to contain the final report, expense report, photos and journal.  Indicate if student created a webpage that we could link to from the main VIH website. 

2.       Campus coordinators must submit a professional group photo of all three recipients on a CD to be used on main VIH website and other promotional advertisements.

PLEASE NOTE:

All applications and experience reports must be submitted by the listed deadlines. Late and/or incomplete applications will not be accepted and the applicant will forfeit the scholarship.
